Running Activate
Webinar operations
How a webinar brief runs, from setup and the activation kit to Zoom creation, registrations, attendance and follow-up.
Webinar operations
A webinar brief produces a co-hosted partner webinar. The client works through it in Webinars, and you follow it in the mirror. It runs on a seven-week playbook: pre-planning (weeks 1 to 2), promotion and build (weeks 3 to 5), live (week 6), and follow-up (weeks 6 to 7).
Setup
After Start Webinar setup, the client fills five sections:
- When: date, time, timezone and a dry run. The dry run must be at least 48 hours before the webinar.
- The joint offer.
- Graphics.
- Speakers.
- Context page.
Then Generate activation kit. The kit holds:
- Registration and announcement graphics and landing page copy.
- Email set · EDM 1-3 (announcement, the shift, the close).
- Agenda / run sheet and a deck.
Each section can be regenerated. Download campaign kit exports it. HockeyStick does not send the emails; the client does.
Zoom
Creating the Zoom webinar is a separate step. The client presses Create Zoom webinar and reviews the exact action ("Nothing is sent to Zoom until you confirm"), then confirms. Repeat clicks never create duplicates. Retry Zoom webinar appears if creation finished without a webinar, and Cancel queued creation stops one still in the queue. If Zoom is not connected or needs reauthorising, the page says so. See Connect Zoom.
During and after
- Registrations: HockeyStick-hosted and from Zoom, with Refresh from Zoom.
- Attendance · from Zoom: matched to registrants by their Zoom registrant record.
- Follow-up: draft slots, Draft content with the agent, then Approve. Follow-up drafts are targeted within hours of the webinar ending.
- Social posts: raised under the webinar brief, for pre-webinar promotion and post-webinar follow-up, then edited and approved in Social.
Launch risk
Required assets that are still unapproved close to the date show on Momentum as "Approval needed" or "Launch at risk". For webinars the deadline is 48 hours before the start.
