Slack agent

Seats, licences and administrators

How seat agreements, customer administrators and agent licences work, and what changing them does.

Seats, licences and administrators

Three records decide who can use the agent: the seat agreement HSAI records, the customer administrators, and each person's licence.

Seat agreement (HSAI)

Recorded in HSAI Agent → Seats & customer administrator:

  • Seat limit: a whole number from 0 to 100,000.
  • Start and end: access must end after it starts and in the future.
  • Agreement reference: required, up to 200 characters.
  • Customer administrator: chosen from the client's invited customer users. If there are none, invite one first.

Saving creates no credit and no charge. The customer administrator can then connect Slack and assign licences.

Editing an agreement

If the agreement is current now and stays current under the new dates, assigned licences stay valid and the customer has nothing to redo. Otherwise the review warns that the customer administrator will have to assign licences again. Read that warning before you confirm.

Customer administrators

  • Only customer users (the client role) in that organisation can be administrators. HSAI staff cannot.
  • The first administrator is set by HSAI with the seat agreement. After that, existing administrators add others from Make administrator in their portal.
  • The last valid administrator cannot be removed. If none remain, HSAI can designate a new one from the seat agreement, with a fresh agreement.

Administrators can manage administrators, turn Slack on or off, connect workspaces, give licences and share credit.

Licences

  • One licence uses one seat. Only current client users in the organisation can hold one.
  • A licence admits a person to the agent. It never widens their HockeyStick permissions.
  • Licences cannot be assigned without a current agreement, or once all seats are used. Revoking always works.
  • Moving a user out of the organisation, deleting them or changing their role invalidates their licence. Moving them back does not revive it.

Assigning on the customer's behalf

Inside step 1 there is Assign licences on the customer's behalf. Use it only when the customer asks. The change is recorded as made by HSAI staff.

Turning Slack on

Slack use is a separate switch the customer administrator sets in their portal. Licences do nothing while it is off. The customer sees "HockeyStick isn't turned on for you yet" in Slack until both the switch and a licence are in place.
